Knowledge Transfer Checklist

For our team to conduct an initial site audit of your existing website, we will need access to your current hosting account, to servers and services used by the website, and access credentials for any third-party services or API integrations.

  • Documentation:

    • System Architecture: Detailed diagrams and documentation of the current system architecture.
    • Codebase Documentation: Any documentation of the codebase, including comments within the code, README files, and any other documentation that explains the structure and functionality of the code.
    • Configuration Documentation: Documentation on how the system is configured, including server settings, database configurations, and any environment-specific settings.
    • Operational Procedures: Documentation of routine operational procedures, including backup procedures, deployment processes, and any scheduled maintenance tasks.
  • Access Credentials:

    • Source Code Repositories: Access to all source code repositories 
    • Server Access: Administrative access to all servers and services used by the website, including development, staging, and production environments.
    • Third-party Services: Access credentials and documentation for any third-party services or APIs integrated with the website. This also includes tools like Google Tag Manager, Google Analytics, Google Search Console, etc.
  • Database Information:

    • Database Schemas: Detailed schemas of all databases used by the website.
    • Database Access: Credentials and access to all databases, including any documentation on backup and restore procedures.
  • Previous Issues and Solutions:

    • Known Issues: A list of known issues, bugs, and technical debt within the system.
    • Past Incidents: Documentation on past incidents, how they were resolved, and any preventative measures taken.
  • Maintenance and Monitoring:

    • Maintenance Schedule: The current maintenance schedule, including regular updates and patch management procedures.
    • Monitoring Tools: Details on the monitoring tools currently in use, including access to these tools and any configured alerts or dashboards.
  • Development and Deployment:

    • Development Environment: Information about the development environment setup, including any necessary tools, dependencies, and version control practices.
    • Deployment Pipeline: Documentation of the deployment pipeline, including continuous integration and continuous deployment (CI/CD) processes.
  • Security:

    • Security Measures: Documentation of security measures in place, including SSL certificates, firewalls, and any security protocols followed.
    • User Access Control: Information on user roles, permissions, and access control mechanisms.
  • User and Client Information:

    • User Manuals: Any user manuals or guides provided to your organization.
  • Training and Support:

    • Training Materials: Any training materials or sessions provided by the previous vendor to your organization.
  • Payment for hosting and plugins:

    • We will need to know all the costs associated with the hosting and plugins as well as who is paying for them (another vendor or your organization).
